Sharing your schedule with your cleaner, without asking them to enjoy computers
They clean impeccably but will not hear a word about apps. Good news: all it takes is a calendar link in their phone. No account, no password, nothing to learn.

What you need
- A calendar link that gathers every booking for the property, whatever platform it came from.
- The phone of the person concerned, and ten minutes together, once.
- A cup of coffee: it is the moment to agree on what they should look at, and when.
The need is universal: the person who cleans has to know when guests leave and when the next ones arrive. Many hosts wear themselves out sending a message for every booking, with the oversights that go with it. The calendar-link method turns the burden around: the information arrives on its own in that person's phone, in the calendar they already use for their own appointments.
What to do
Step 1: choose the right calendar to share
Do not share the calendar of a single platform: the missing booking from Abritel, the French arm of Vrbo, will end with guests ringing the bell at an unprepared house. The link you share must gather every platform together. That is exactly what a central calendar produces: one single calendar output in which every stay appears, whether it came from Airbnb, from Booking.com, from a regional platform or from a direct booking you wrote down.
If you have no central calendar, share at the very least the link of each platform, adding them all to their phone. That works, but every new connection will have to be made on their phone as well.
One detail that matters when a schedule is shared with somebody else: in the calendar outputs of a service such as ours, guests' names and details are hidden. Your cleaner sees arrival and departure dates, not personal information, and you stay on the right side of the confidentiality you owe your guests.
Step 2: add the link to Google Calendar
On an Android phone, the simplest route is through Google Calendar, once, from a computer or a browser: in the Google Calendar settings, choose "Add calendar", then "From URL" (that is Google's word for a link), and paste the calendar link. The calendar then appears on the phone, mixed in with their appointments or shown separately, as they prefer. A point of honesty: Google Calendar reads calendar links at its own pace, with no guaranteed delay and no setting to change it; users see updates taking several hours, sometimes a whole day (at the time of writing, August 2026). For preparing a clean, that is nearly always enough, since stays are booked days ahead. For a last-minute booking, add a message: the calendar informs, it does not replace the alert.
Step 3: or to the iPhone calendar
On an iPhone, the shortest route is through the Calendar app itself: tap "Calendars" at the bottom of the screen, then "Add Calendar" and "Add Subscription Calendar". Paste the calendar link and tap "Subscribe" (this is the route documented by Apple, observed in August 2026; on older iPhones, the same setting is found in Settings, under Calendar, then Accounts). The bookings appear in the Calendar app they already know. Here too, what matters is subscribing to the link, not opening a file sent by message: a file opened once will never update again.
Step 4: show them the two useful views
Take five minutes to look at the schedule together. The first view: "today and tomorrow", who is leaving, who is arriving. The second, and more important: the tight turnarounds, a departure and an arrival on the same day. Those are the days that have to be prepared in advance, because the cleaning has to fit between two stays, often between 10 am and 4 pm. On a phone calendar, a turnaround is spotted at a glance: two stays touching on the same day.
What this method does not do
Let us say it plainly: a shared calendar shows dates. It does not assign tasks, contains no cleaning checklist, and does not let the person tick "done" or report a missing sheet. If your organisation needs all of that, you are in the territory of tools specialising in holiday-let cleaning, such as Turno, which handle assignment, checklists with photographs and paying the people who do the work. The two go together very well, as it happens: those tools feed on the same calendar links.
Our conviction, on a human scale: for one property or a few, with somebody you trust, the calendar in their phone plus a message for special cases covers what matters, without forcing one more tool on somebody who does not want it.
The traps
Importing the file instead of subscribing to the link. This is the classic trap: the schedule appears, everything seems to work, and then it freezes for ever. If recent bookings are missing, that is nearly always the reason.
Sharing the calendar of a single platform. Stays from the other platforms do not appear, and nobody notices until the day it matters.
Forgetting that the link is a key. Whoever holds the link can read the schedule for the property. If you change cleaner, change the link: a calendar link can be replaced, like a lock.
Saying nothing about held dates. A period held for building work looks just like a stay in a calendar. Agree a clear title for those periods, to avoid a clean being prepared before the builders arrive. How to hold those dates everywhere is in holding dates on every platform at once.
Staying calm
This sharing settles the everyday information. That leaves your side of the mirror: knowing each morning what is arriving and what is leaving across all your properties, and above all knowing that the calendars feeding all of this are working. That is the role of a health screen: the day's arrivals and departures on one side, the state of each calendar link on the other, with an alert if a link fails or two bookings overlap. Your cleaner looks at their calendar, you look at the watchman. The trial lasts 14 days, with no card needed.
One last word: the best organisation is the one everybody adopts without effort. A calendar somebody already consults every day will always beat the perfect app they will never open.
Frequently asked questions
Does my cleaner have to create an account somewhere?
No, at no point. The calendar link is added to the calendar they already have on their phone. That is the whole point of the method: nothing to install, nothing to remember.
Can they change or delete bookings by mistake?
No. A calendar followed by link is read-only by its very nature: their phone consults it, it cannot write to it. The worst accident possible is removing the calendar from their own app, which is put right by pasting the link again.
Will they see the guests' names and arrival times?
Rarely. Platform calendars mainly carry dates, almost never the full identity of guests or their times. For those details, a message is still needed.
What if they have no smartphone?
Print the current month from your calendar and hand it over again whenever something changes. It is less automatic, but an up-to-date paper schedule beats a modern tool that nobody looks at.
